ELECTRONIC TIME SHEETS – NEW ENROLLMENT

AT THIS TIME WE ARE NO LONGER ACCEPTING NEW ENROLLMENT FOR ELECTRONIC TIME SHEETS (E-TIME).

CURRENTLY ENROLLED E-TIME USERS FOR DEVELOPMENTAL SERVICES (DS), CHILDRENS PERSONAL CARE SERVICES (CPCS) AND FLEXIBLE CHOICES (FLEX) CAN CONTINUE TO USE E-TIME TO SUBMIT THE TIMESHEETS.

WE ARE ACTIVELY DEVELOPING A NEW (AND IMPROVED) E-TIMESHEET OPTION FOR ALL OF THE PROGRAMS WE SUPPORT WHICH WILL BE LAUNCHING IN THE FUTURE – KEEP AN EYE ON THE WEBSITE FOR UPDATES. THANK YOU FOR YOUR UNDERSTANDING AND COOPERATION.

Vermont – Coming Soon to a Mailbox near you!

In order to streamline the mailing and distribution of time-sheets, ARIS will be moving to a universal time-sheet.  Changing to this format will allow us to include a time-sheet to be mailed with each check and check stub.  At this time we do not have a launch date, check back for updates.

Budget Year End Reminder

The current budget year for the services that you manage will be ending soon.  the budget end date for these services is June 30, 2017.

The time-sheet deadline for any services provided before July 1, 2017 is July 10, 2017. We need all time-sheets in our office by 12:00 p.m. (Noon) on July 10. 2017.

Late Time-sheets will not be paid.

If you have time-sheets for services provided between July 1, 2016 and now, please send them to us immediately for processing.  Do not wait until the last minute to submit time-sheets.

Remember: If there isn’t enough money in a budget, we won’t be able to fully pay a time-sheet.  In some cases, we may not pay at all.  We will return the time-sheet to you, so you can arrange to pay for the services directly.

You cannot use funds that begin on July 1, 2017 to cover unpaid services.  If you try to do this, it could be considered Medicaid Fraud, Which is a very serious offense.

Changes to the Look of your Paycheck – Employees in Developmental Services, Traumatic Brain Injury (TBI) and Family Managed Respite (FMR) Supports

Over the last several years, ARIS Solutions has been working on upgrading the software we use to process time-sheets and payroll.  This work is almost done.  We are very excited to announce its launch in July 2017.

What does This Mean for Me?

There are a couple things about this change that will affect you:

  • Because we will be using one computer system until July 1, 2017 and a different one after July 1, 2017 for pay date July 14, 2017 you might receive two paychecks or deposits to your account.
  • Your paycheck – or Notice of Direct Deposit – will look a little different.  If you receive a paper check, the color of the check will change to a light blue color.
    • If you receive direct deposit, we will continue to directly transfer funds to your account but the Notice of Direct Deposit will now be printed on regular paper
  • The “Year to Date” earnings on your paycheck will be based on the computer system – and not combined on the paycheck but will be correct and reflect all earning in Calendar Year 2017 on the W2 form that you receive from us in January 2018.

Do I Need to Fill My Time-sheet Out Differently?

No-You don’t have to do anything differently. all the changes are handled on our end.  You and your employer just need to fill your time-sheets out and make sure that they are at our office by 12:00 p.m.(noon) on July 10, 2017.  There are firm deadlines this time of year.
